Working in Audience

The Audience page is where you manage subscribers: add and import contacts, organize them with tags and segments, keep your list healthy, and manage signup forms. This guide covers everything you can do there.

Add subscribers one at a time or in bulk via the guided CSV importer (maps your columns to Letterhead fields and validates rows). View or edit any member, filter the list by date added or by contacts with no tags, and export all or part of your list (optionally by segment) to CSV. Admins can re-subscribe members; mass deletion of contact details is supported, but audience members themselves can’t be deleted for compliance (CAN-SPAM) reasons.

You can also bring your existing Stripe customers into Letterhead as contacts and keep the list current automatically — new customers are added as they appear in Stripe, imported contacts are tagged so you can find and segment them, and anyone already in your audience is left untouched. Each profile shows an activity log (opens, clicks, engagement), bounce history, suppression status and reasons, promotion clicks, inferred reader interests, and Stripe purchase activity with product names.

A contact’s profile can show the network (IP) address Letterhead saw for them — the most recent one alongside their other details, and the specific address on every open and click in their activity history — so you can see where a reader connects from and follow how that address changes over time. Automated opens and clicks (mailbox-provider prefetch, security scanners) are left out so the value reflects a real person.

A contact’s profile can include a dedicated Suppressions section: every newsletter they can no longer receive, each with the newsletter name and the reason, including the bounce details when a bounce caused it. A permanently undeliverable address appears as a single “suppressed everywhere” entry, visually distinct from per-newsletter suppressions. When an address hard-bounces, it is cleaned from every newsletter the contact was still subscribed to, and the list is reconciled daily against the email provider’s suppression list. Each newsletter subscription row on the profile also shows the date the contact was suppressed from that list. This view may need to be enabled for your account — contact support. Categorize with tags (individually or in bulk — including tagging everyone who opened or clicked a given newsletter). Build segments from profile attributes and behavior, or use Smart Engagement-Based Segments that update automatically. Readers’ inferred interests (shown on their profiles) can also be used to build segments. Custom fields (like city or plan) power advanced segmentation and personalized content, and signup-form responses save straight to contact records.

Yes. When you build a segment based on when someone last opened or last clicked, you can choose a rolling time window — such as everyone who opened in the last 30 days — or a fixed date range, instead of only a single fixed date. A rolling window always means the last 30 days relative to today, so you never have to come back and edit the date as time passes.

Recipient validation runs automatically as part of sending, soft/hard bounces are handled for you, and List Optimization can manage inactive contacts. Reputation scores (0–100) appear in List Health and Portfolio Health. Double opt-in is an organization-enforced Audience Policy — channel admins should contact an organization administrator to change it. Pending-confirmation members can be managed, but confirmation emails can’t currently be resent.

See and edit all your signup pages, group pages, and embed forms from a single list with live previews. Every place a reader can sign up — your main signup page, group pages, each newsletter’s own signup page, and the subscribe form you embed on your own site — gathers into one list, each with a live preview and a copy-paste embed snippet. Open any of them in an inline editor to reorder sections, pick which newsletters a section subscribes people to, choose the page’s typeface from a font catalogue, and set each section’s own background and text colours. Can I see how much my newsletters’ audiences overlap?

Yes, over the Letterhead API: for every pair of newsletters, retrieve how many active subscribers they share, with each newsletter’s own total alongside — plus a focused view of any two to five newsletters that breaks out their combined unique reach, who is shared across them, and who is exclusive to each. This is available over the API only. See Retrieve newsletter audience overlap data via API.

Sending happens in Emails; CRM sync (HubSpot/Mailchimp), Stripe, and Zapier connections live in Integrations; org-wide audience across channels is on the Organization Audience page.

Org admins see audience across all channels; channel roles see their channel. If an option isn’t visible, ask your admin — or the assistant, if you have early access.
