Working in Reports
Edit in CMSReports shows how your newsletters and audience are performing. This guide covers everything you can do there.
Report types
Section titled “Report types”Three report types cover most needs: Click (link-level engagement), Newsletter Engagement (opens, clicks, trends per send), and Audience Growth (subscriber metrics over time) — across all channels. Bounces are broken out as hard (permanent address failures) vs soft (temporary delivery problems) alongside totals — each with its own count and rate, shown in a newsletter’s edition metrics view, as dedicated cards on the company analytics page, and as columns in the Newsletter Engagement Report CSV. The hard/soft split may need to be enabled for your account — contact support. See Understanding hard bounces and soft bounces in your reports.
The company analytics overview also includes a Promotion Clicks card showing how many times readers clicked a promotion link during the selected date range, with a period-over-period comparison so you can track whether promotion engagement is trending up or down.
Heatmaps
Section titled “Heatmaps”Read the click heat map on any sent letter, or toggle the heatmap overlay on a published newsletter’s preview to see which links and content performed best — each link is coloured by how many clicks it received. See View click heatmaps on published newsletters.
Segments over time
Section titled “Segments over time”Track engagement trends for any saved audience segment — or your whole audience — with day-by-day charts of open rate, clickthrough, click-to-open, and bounce rate across a date window you choose. The chart plots the segment against your whole-audience baseline, so you can tell at a glance whether it runs ahead of or behind your overall readership. View the trend across all your newsletters at once or narrow it to a single newsletter’s subscribers, and download any view as a CSV. Because each reader’s sign-up source is captured automatically as they join, you can build a segment around where readers came from and answer “how do people from this source engage over time?” — source-based charting may need to be enabled for your account; contact support. Export & schedule
Section titled “Export & schedule”Export any report to share it, or schedule recurring reports (letter performance, audience growth, click data) emailed daily, weekly, or monthly to anyone who needs them. A Reports section in Analytics lists all your scheduled reports and lets you create new ones with a configuration drawer; an on-demand Export tab lets you generate a one-off copy any time. Can I download my analytics as a PDF?
Section titled “Can I download my analytics as a PDF?”Yes. Save your analytics dashboard as a clean, presentation-ready PDF — the report matches whatever you’re looking at (your headline numbers, channel breakdown, audience health, and top-performing emails) with the charts included, so it’s ready to share or drop into a deck. Can I see how a poll performed?
Section titled “Can I see how a poll performed?”Yes. See how a poll performed on a newsletter edition — its response rate and the tally for each option — on that edition’s metrics page, and open a dedicated poll page that lists every edition the poll ran in with its response rate, then export those results as a spreadsheet.
Can I track transactional emails?
Section titled “Can I track transactional emails?”Yes. See how your transactional emails — receipts, password resets, and other automated messages — are landing, all in one place: for each type you get sends, open and click rates, bounce and spam rates, and when it last went out, with search and date filtering to focus in. You can also ask Letterhead’s AI assistant how your transactional emails are performing and get send counts and open, click, bounce, and spam rates grouped by tag over a date window you name. Can Letterhead tell me how to improve my sender health?
Section titled “Can Letterhead tell me how to improve my sender health?”Yes. Letterhead can turn your sender health into specific, prioritized guidance for landing in more inboxes — pointing to what’s dragging your deliverability down and how serious each issue is, for a single channel or across your whole company. It’s available through the API, and may need to be enabled for your account — contact support. See Get sender health recommendations via API.
Can I explore the dashboard before I have real data?
Section titled “Can I explore the dashboard before I have real data?”Yes. A toggle in the company dashboard’s page header replaces all live metrics — Operational Pulse, Portfolio Health, Active Engagement, and Audience Metrics — with pre-populated sample data, so you can explore and demo the dashboard without needing real send or subscriber history. The preference persists across sessions. See Preview your company dashboard with sample data.
What this page doesn’t do
Section titled “What this page doesn’t do”Per-letter delivery metrics also appear on each letter’s page in Emails; promotion performance lives in Promotions Insights; subscriber-level detail lives on contact profiles in Audience.
Who sees what
Section titled “Who sees what”Access varies by role. If an option isn’t visible, ask your admin — or the assistant, if you have early access.
