How do I copy a newsletter into another channel?

If you run more than one channel, you have probably wanted to reuse a newsletter across them — the same announcement for two audiences, a house ad you send everywhere, or a format that worked well in one publication and belongs in another. Copy Newsletter does that in one step: pick the newsletter, pick where it should go, and a copy appears in the destination channel as a draft.

Copying leaves the original newsletter exactly as it was. Nothing is sent, scheduled, or published by copying — the copy is a draft until you open it and decide what to do with it.

The tool lives at the company level of your account, alongside the other tools that work across all of your channels rather than inside one of them.

  1. Go to the company area of your account.
  2. Open Global Tools in the sidebar.
  3. Under the Letters section, choose Copy Newsletter.
  1. Under Copy from channel, choose the channel the newsletter lives in now. Both channel lists show the channels you administer, so if you look after a few specific publications rather than the whole account, you will see just those.
  2. Under Newsletter to copy, search for it by title or by its unique ID. A channel can hold thousands of newsletters, so this is a search box rather than a long list — type a few words from the subject or title and pick the one you want from the results. If you see a note saying only some of the matches are shown, add another word to narrow it down.
  3. Picked the wrong one? Select Change to go back to the results and choose again.
  4. Under Copy to channel, choose where the copy should go. The channel you are copying from is left out of this list, since a newsletter cannot be copied onto itself.
  5. Select Copy newsletter.

You will see a confirmation naming the newsletter that was copied, and the form clears so you can copy another one. To start over at any point before you copy, select Reset.

Any newsletter in the channel can be copied, whatever state it is in — a draft you are still working on, one that is scheduled, or one you have already sent.

The copy lands in the destination channel as a draft. Open that channel’s Emails page to find it, then edit it like any other draft: change the subject, swap the content, and schedule or send it when you are ready.

A few things worth knowing before you send:

  • The copy is a separate newsletter. Editing it does not change the original, and editing the original does not change the copy.
  • The destination channel’s audience is who receives it, so check your segments and send settings before scheduling.
  • Content that is specific to the original channel — its branding, links, or sign-off — is worth a read-through in the copy, since what suited one publication does not always suit another.

Copying moves content between two channels, so Letterhead asks that you have real authority over both ends of the copy. Copying is available to company administrators — if you administer the whole company, you can copy between any of your company’s channels.

A channel you work in might still not appear in either list. Contributing to a channel — writing and editing its newsletters — is not the same as administering it, and the lists only show channels you administer. If a channel you expect is missing, ask whoever administers your account to check what access you have to it.
